Training Administrator

General Description

Responsible for administration, oversight, and coordination of agency-wide training.  In collaboration with Leadership, identify priorities, manage resources, and deploy learning programs that meet programmatic, grant-based, and external agency requirements in addition to support of performance and development of Brien staff. 

The Training Administrator maintains the internal Learning Management System (Relias) to ensure timely set up, TRAC and delivery of initial and recurring training. Position will coordinate internal/external instructors as well as deliver training programs, ensuring quality training deliver and successful outcomes.

Essential Job Functions

Learning Management System (LMS) Administration

  • Serve as sole administrator for the internal LMS system, currently Relias; coordinate with HR to ensure accurate employee database and reporting hierarchy. 
  • Maintain accurate and timely database of Brien staff and the training programs associated with each role.
  • Ensure proficient working knowledge of the LMS system; remain up to date on upgrades and system enhancements; provide training and assistance for staff within the system, as needed.
  • Maintain and administer annual regulatory training, including tracking, module setup, review of course content, and delivery. 
  • Maintain data analytics on training and outcomes; report to Leadership as needed.
  • Establish a comprehensive system of communication with staff and Leadership around training including an annual calendar and annual CEU opportunities.
  • Notify staff prior to training expiration, where applicable, and schedule for training to avoid a lapse

Manage CEU Application Process and Administration

  • Administer CE process with the American Psychology Association, including CE approval, annual reporting and the 5-year application process.
  • Submit CEU applications for educational events, typically 3-6 per year, for social work, LMHC, nursing, LADC, psychologists.
  • Partner with Berkshire Health Systems on CEU and external training events.
  • Coordinate topics and speakers; Provide event planning support.
  • Participate on planning team for annual suicide prevention conference.
  • Identify external training opportunities that potentially offer CEUs.  

Training Administration

  • Oversee and directly contribute to development and/or customization of curriculum, training materials and identification of appropriate delivery methods.
  • Develop, implement and monitor tracking system for all Brien Center staff trainings, including those provided by external agencies.
  • Coordinate and/or deliver classroom or 1:1 instruction to staff and trainers, as applicable.
  • Develop, maintain, and distribute a training calendar for all Brien Center employees. 
  • Continually assess the effectiveness of current training programs, curriculum design & content, and delivery methods to ensure continual improvement within the training programs.
  • Coordination with external training programs/systems (Red Cross, ALICE, American Psychology Association, and others) to administer and record required trainings. 
  • Maintain CPR/First Aid training certification (participant level and instructor level); assign and coach CPR/First Aid trainers.
  • Ensure nurses are current with BLS training; coordinate scheduling of training with Berkshire Health Systems.
  • Oversee the Training Room at 333 East Street including, but not limited to, maintaining the master outlook calendar, assisting with room scheduling/conflicts, ensuring room set up and cleanliness, and coordination with IT and maintenance as needed. 

Process and performance improvement

  • Maintain an understanding of required training for Brien positions, programs, and regulatory requirements.
  • Work closely with Division Directors, Leadership, Compliance, and Human Resources to ensure employees’ timely compliance with all contract regulations and legally required training.
  • Develop and maintain collaborative, effective, professional working relationships, with all levels of Leadership to help assess, analyze, and identify training gaps; help determine alternative solutions and process/performance improvement trainings and/or activities. 
  • Stay current on best practices in adult learning theory, including technological delivery methods, to ensure effective content creation, delivery, and retention.

Other Responsibilities

  • Participate in and attend Management and HR staff meetings.
  • Represent the agency in a professional manner in all community contacts.
  • Assist with special events or other HR-related or Managerial events as needed.
  • Other duties as assigned by supervisor or Leadership.

Qualifications

  • Bachelors’ Degree in a related field, ideally in the mental health or health care industry.
  • Minimum of 5 years’ experience as a company trainer
  • Experience administering/maintaining a LMS database.
  • Understanding of the training and programmatic requirements of a mental health/human services industry field.
  • Excellent facilitation and public speaking skills with ability to deliver effective, educational presentations and trainings.
  • Demonstrated ability to engage an adult audience and create content in line with adult learning styles.
  • Flexibility and creativity in presentation with ability to ensure student interest and retention of material.
  • Ability to assess and coach other internal trainers in content delivery and learning effectiveness.
  • Exceptional interpersonal skills with ability to work effectively with all levels of staff and management. 
  • Ability to remain current on Brien departments’ requirements, adjusting training as needed. 
  • Occasional availability outside of normal working hours. 
  • Ability to track, analyze, interpret, and report on training data and student retention and compliance with regulations.
  • CPR certified instructor (or ability to become certified)
  • Proficient computer skills in Microsoft Office Suite products.
  • Inherent curiosity towards new delivery modalities.
  • Exceptional ability to work independently with little supervision.
  • Strong problem-solving skills with ability to pivot in the moment to find a resolution.
  • Ability to manage to deadlines; adjusting priorities as needed.
  • Ability to remain calm under pressure and respond in a professional, collaborative manner.

 Working Conditions

  •  Work is performed in general office setting and across various sites within the Brien Center.
  • Able to work and travel to other agency and public locations as needed

 Physical Conditions

  • Manual & visual dexterity to perform key job duties.
  • Ability to physically move workstations, set up computerized systems and training room, as needed.
  • Ability to move through a classroom setting to assist students as needed and present training material
  • Ability to stand, walk, reach, bend, kneel, and sit.
  • Ability to lift 30 lbs.
